POSITION SUMMARY: The School Secretary II performs responsible secretarial and clerical work in an elementary, middle or high school. Employees in this class include the head secretary in an elementary school and the most responsible secretarial position in a middle or high school such as the head secretary in the main office or the secretary to the Principal. Work may include assignments in support of other administrative program activities such as data entry, guidance and library. Employees whose positions are assigned to this class are expected to exercise considerable initiative and mature judgment. Supervision may be exercised over subordinate clerical personnel. The work is performed under the general supervision of a Principal or Vice Principal.
DUTIES AND RESPONSIBILITIES Serves
as secretary to a Principal and relieves him of many administrative details as
assigned; Screens
visitors entering the school building, ascertains the nature of their business
and directs them to the proper person or room; Supervises
the work of subordinate clerical staff and student assistants; Maintains
student attendance records and prepares related reports; Processes
student enrollments, transfers and withdrawals; Posts
employee time records and prepares payroll form; Prepares
requisitions for supplies and equipment; Maintains
inventories and keeps textbook records; Compiles
and types a variety of records, reports, memoranda and teaching materials; Operates
office machines in duplicating forms, memoranda and other materials; Organizes
and maintains office files and records; Coordinates
the requisitioning of films and materials; Answers
requests for information requiring knowledge of general school practices,
policies and activities; Processes
a variety of student and school administrative information and data using
remote terminals; Administers
first aid to students and contacts parents regarding student absences or
illness at school; Maintains
health records; Secures
services of substitute teachers; Opens
and screens mail; Maintains
accounts of fees collected in the school; Performs
bookkeeping duties, including handling monies and making financial reports; and Performs
other general office and related duties as assigned.
QUALIFICATIONS Good
knowledge of office terminology, procedures and equipment and business
arithmetic and English; Some
knowledge of elementary bookkeeping; Some
knowledge of school office routines; Ability
to follow oral and written directions; Ability
to get along well with others; Ability
to maintain complex clerical records and prepare reports from such records; Ability
to make decisions in accordance with laws, ordinances, regulations and
established procedures where errors could easily result in additional costs to
the school; Previous
experience in or ability to learn information processing and data entry from
remote terminals; Ability
to plan and supervise the work of others; interest in, and understanding of
children; Ability
to type at the established rate of speed; and Ability
to use sound judgment; tact and courtesy; and must be in good physical
condition.
EDUCATION and/or EXPERIENCE REQUIREMENTS: High school graduate with considerable progressively responsible experience in clerical work, some of which shall have been at the level of School Secretary I, with business school training highly desirable; or any equivalent combination of experience and training which provides the required knowledge, skills and abilities.

SUPERVISORY RESPONSIBILITIES: No direct supervisory responsibilities.
