POSITION SUMMARY:


Assists in the purchasing of large variety stocked and non-stocked items and equipment. Under direction of the Supply Services Supervisor assists in providing the technical responsibility for ordering, receipt, control and issuance of stocked inventory and equipment, i.e., custodial, health, paper and office supplies. Assignments include assisting with processing and filing  correspondence pertaining to requisitions for stocked and non-stocked items, assisting with printing and processing school and office orders in Oracle, correcting daily error listings and typing delinquency notices for overdue vendor material. Work is performed with latitude for independent judgment.

DUTIES and RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Assists in processing orders, receipts and requisitions for maintenance and custodial parts and equipment using a remote terminal, notifies vendors about shortages, i.e., incorrect or damaged shipments, and types up merchandise return for this material;

Maintains specific vendor catalogs for identifying stocked items and obtaining correct specifications or to obtain new items for servicing mechanical equipment;

Maintains daily contact with users to determine specific facts relating to items ordered which were not previously supplied; advises them on item availability or to suggest substitutes;

Types change orders to add money to all accounts as needed when notified by Accounts Payable. Also, assists Accounts Payable in reconciling statements from vendors;

Assists in entering requests for stocked and non-stocked items in Oracle in order to determine frequency of requests for future stocking; recommends stock level based on number of requests during a specific period;

Initiates orders to vendors through Blanket Purchase Agreements or Purchase Orders as applicable, assures the requested item(s) are not available through established contracts before recommending action by the Purchasing Office;

Follows up with vendors on delinquent orders and keeps user informed of actions taken; seriously delinquent orders are referred to the Purchasing Office for appropriate action;

Maintains required files of all requisitions, material transfers, correspondence, user requests, vendor deliveries and related matters;

Organizes and maintains office files and records;

Posts employee time records and prepares payroll forms;

Performs various clerical duties and responsibilities in support of the organization’s programs and operations; and

Performs other general office and related duties as assigned.

QUALIFICATIONS:The requirements listed below are representative of the knowledge, skill, and/or ability required.

Knowledge of warehousing methods and procedures used in the receipt, storage, handling and control of a large variety of stocked and non-stocked items and equipment;

Ability to operate display terminals, knowledge of store keeping records procedures;

Knowledge of department regulations and procedures affecting special materials and goods as well as proper purchasing and requisition methods;

Ability to maintain a current knowledge of principal stock items, technical catalogues and sources of supply;

Ability to maintain records and prepare reports from such records;

Ability to establish and maintain effective working relationships with associates, vendors and the general public;

Ability to learn rapidly and accurately; and

General computer knowledge, including MS Office Word, Excel and Oracle.

EDUCATION and/or EXPERIENCE REQUIREMENTS:


High School diploma or GED with previous experience in a supply/warehouse display terminal.
