POSITION SUMMARY:


  The Secretary I performs varied secretarial and clerical work of average difficulty. Positions in this class involve secretarial and clerical work, which requires independent action and judgment. Employees are expected to carry out normal day-to-day operations and dispose of routine problems encountered with a minimum amount of detailed supervision. Supervision may be exercised but is not required. Stenographic skills may be required, as needed.   

DUTIES and RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

 

Types letters, memoranda, reports, forms, requisitions and other materials frequently requiring the use of independent judgment;

Transcribes dictation from shorthand or stenotype notes, and/or from dictating equipment or written copy;

Serves as receptionist, receives telephone calls and incoming mail, answers inquiries concerning office activities and operations including the preparation of routine correspondence for signature by a superior;

Prepares letters of request, transmittal and acknowledgment on own initiative and from rough notes or instructions;

Keeps records of financial, statistical and other information and prepares periodic reports from such records; extracts information from files and records and prepares or assists in preparing special reports;

May keep time and attendance records;

Opens and distributes mail; assembles files and other materials to facilitate reply by superior; checks forms and other materials for completeness and accuracy and follows up to correct discrepancies; establishes and maintain files; maintains inventory of office supplies and replenishes stock as appropriate;

Arranges for records and keep superior advised of meetings and appointments; and

Performs other general office and related duties as assigned.

 

 

QUALIFICATIONS:The requirements listed below are representative of the knowledge, skill, and/or ability required.

 

Working knowledge of modern office practices, procedures and equipment;

Good knowledge of school system policies and procedures;

Good knowledge of correct English usage, grammar, spelling, punctuation, and vocabulary;

Ability to perform routine and diversified clerical work involving independent judgment;

Ability to operate a computer with speed and accuracy;

Ability to work effectively with constant interruptions and meet scheduled time lines;

Ability to use business telephone techniques and etiquette;

Ability to treat information, data, and records confidentially;

Ability to type in accordance with current requirements;

Ability to take shorthand if required; and

Ability to communicate effectively both orally and in writing; and good interpersonal skills using tact, patience and courtesy; and must be in good physical condition. 

 

EDUCATION and/or EXPERIENCE REQUIREMENTS:


 

High School graduate with progressively responsible experience in office and general clerical work, or any equivalent combination of applicable education, training and experience which provides the required knowledge, skills and abilities necessary to perform effectively in the position.
