POSITION SUMMARY:
The
Commodities Control Clerk performs responsible and varied accounting and
clerical work. The incumbent follows established procedures in the receipt,
storage, allocation, delivery and accounting for all U.S. Department of
Agriculture (USDA) commodities allocated to the county school system. Work also
involves preparing and typing of reports for commodities, food allocations,
records of damaged or lost goods, etc. The incumbent develops reports and
provides information as needed. May also develop new databases as needed. The
employee will work within the established departmental policies and guidelines.
Work involves frequent contact with various other departments within the school
system. Work is performed under general supervision of the director of Food and
Nutrition Services and includes acting as liaison between the Food and
Nutrition Services Department and the Maryland State Department of Education on
all food allocations.
DUTIES and RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
Performs clerical work involved in the
documentary control of the receipt, transfer, storage, replenishment, and
adjustment and issue of USDA commodities to schools through the use of a PC,
typewriter and other office machines;
Receives distribution list from USDA and
figures servings based upon participation to get quantity of commodities to
order;
Maintains liaison with public terminal on items
received and makes arrangements for delivery; if goods are over/short or
damaged, incumbent must notify warehouse agent and fill out a U.S. Government
Report, obtain agent’s signature and send to the Maryland State Department;
Prepares weekly routing notices for commodity
delivery routes, based on cycle menu and on hand storage, for eight (8) truck
routes to approximately 180 schools; taking into consideration the truck(s)
size and the number of cases to be delivered;
Maintains records of schools with excess
commodities that can be transferred to other schools; prepares monthly
inventory of commodities;
Prepares and types all correspondence
pertaining to food allocation notices and bulletins; updates each year with
current market price the school form for commodity inventory;
Assumes responsibilities of the office in
absence of the secretary;
Works on all office duties to include answering
telephones, filing supply orders for schools, sending mailings and recording
Hot Line messages;
Meets the annual continuing education/training
education requirements for USDA Professional Standards for School Nutrition
employees; and
Performs other related duties as assigned.
QUALIFICATIONS:The requirements listed below are representative of the knowledge, skill, and/or ability required.
Considerable knowledge of office methods
and procedures, including record keeping and Food Services Operation and
Accounting; working knowledge of research methods;
Ability to perform duties in accordance
with strict schedules;
Ability to make decisions based upon
experience, good judgment, and established policies;
Ability to operate a computer with
proficiency, including Excel, Word, PageMaker, Microsoft Windows, and other
relational database applications;
Ability to treat information, data, and
records confidentially;
Ability to maintain central record
system and to prepare reports from such; high degree of aptitude for
arithmetical computations; and
Ability to pass typing test at required
rate of speed, ability to coordinate plans and schedules with good oral and
written communications and human relations skills.
EDUCATION and/or EXPERIENCE REQUIREMENTS:
High School diploma required, with previous experience in
commodities/inventory control preferred; or any equivalent combination of
experience and training which provides the required knowledge, skills and
abilities.

No direct supervisory responsibilities.
