POSITION SUMMARY:


  A Clerk Typist II performs modern office practices, procedures using computers and other related office equipment.   The incumbent will perform clerical duties of average difficulty, which requires a full understanding of daily office operations. After employee becomes familiar with established methods and procedures, some judgment and initiative are required to complete assignments. Employees work under general supervision. This class is distinguished from a Clerk Typist I by the added difficulty and responsibility of the clerical and typing work.   

DUTIES and RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Types and proofreads various documents;

Works effectively with interruptions while meeting scheduled time lines;

Keeps track of attendance reports;

May be required to collect and enter student information in SchoolMax;

Files correspondence and a variety of other materials in accordance with prescribed procedures; and withdraws material from files and records as required;

Prepares and processes paperwork and maintains records in accordance with established clerical procedures and instructions pertaining to the assigned functional area or office;

Processes incoming and outgoing mail;

May prepare form letters and other non-technical correspondence of a recurring nature, varying details to suit circumstances;

Answers phone and supplies routine information requiring some knowledge of departmental operations and procedures, and take messages using business telephone techniques and etiquette;

Checks forms, reports and other material for completeness and accuracy and follows up to correct discrepancies;

Operates a variety of office machines and computer applications;

Assembles and distributes materials;

Data entry and maintain excel database;

May act as Receptionist; and

Perform other related duties as assigned.

QUALIFICATIONS:The requirements listed below are representative of the knowledge, skill, and/or ability required.

 

Good knowledge of office terminology, procedures and equipment;

The ability to make basic arithmetical computations;

Ability to operate office equipment;

Ability to operate a computer with a efficient rate of speed and accuracy;

Good knowledge of data entry and retrieval with the ability to maintain clerical records and prepare routine reports from such records;

Ability to communicate effectively both orally and in writing;

Ability to research information and provide prompt responses; and

Ability to deal tactfully and courteously with others and be in good physical condition.

 

 

EDUCATION and/or EXPERIENCE REQUIREMENTS:


 

Graduation from high school with progressively responsible experience in office or school environment and familiar with standard office procedures for general clerical work; or any equivalent combination of experience and training which provides the required knowledge, skills and abilities.
