POSITION SUMMARY:


  Under general supervision, performs moderately complex clerical work in accordance with general instructions and established work methods. Work in this class requires some judgment and interpretation of policies and regulations; such decisions are made, however are in keeping with clearly established precedents or departmental policies. Employees in this class may be responsible for the efficient operation of a general work area involving a variety of procedures. Such responsibilities may include incidental coordination of other employees. Assigned work is carried out independently, without specific instructions. The supervisor provides specific instructions only for nonrecurring work assignments, deviations from normal or prior approved procedures, and new or revised procedures.   

DUTIES and RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

 

Performs various clerical duties and responsibilities in support of the organizations' program(s) and operations, which may include tracking and processing payroll for shop or office personnel.

Typing, receiving telephone calls and answering inquiries, preparing routine correspondence, maintaining appointments, processing mail and controlling inventory of office supplies;

Completes form letters and composes brief nontechnical correspondences;

Processes incoming mail and other materials;

Prepares replies to correspondence from previous experience with the subject, general instructions, administrative notes; prepares and signs standard letters, inter-office forms, requisitions and similar papers;

May fill in for other office Clerks, when needed;

Files and retrieves documents as needed by staff, including sorting, arranging, and filing alphabetically or numerically, as required;

Reviews correspondence, reports and other documents prepared for supervisor's signature to assure conformance with administrative instructions and requirements;

Assures the timely completion of correspondence and reports to determine the status and progress of special projects;

Maintains records and prepares reports;

Gathers and complies information for department meeting;

May assists in preparing the annual budget;

May monitors expenditures with respect to budget limitations; confers with supervisor about the status of accounts and initiates reallocation of funds, as instructed; and

Performs other general office and related duties as assigned.

 

 

QUALIFICATIONS:The requirements listed below are representative of the knowledge, skill, and/or ability required.

 

Good knowledge of modern office practices and procedures;

Good knowledge of business arithmetic and English, working knowledge of the operation of office equipment and/or the ability to learn how to operate equipment used on the job; i.e., computer, shredder, fax machine, and Xerox machine;

Good knowledge of business English, spelling and arithmetic;

Good knowledge of modern office practices, procedures and equipment;

Ability to carry out continuing assignments with limited supervision;

Ability to assemble and organize data;

Ability to keep complex clerical records and to prepare accurate reports from such records;

Ability to prepare effective correspondence on routine matters and to perform routine office management functions;

Ability to establish and maintain effective working relationships with other employees and the general public;

Ability to operate a computer with proficiency;

Ability to type at the required rate of speed;

Ability to perform routine and diversified clerical work involving independent judgment; and good interpersonal skills, using tact, patience and courtesy;

Ability to make simple arithmetical computations with speed and accuracy;

Ability to understand and follow moderately complex oral and written instructions;

Ability to deal with the public tactfully and courteously, and to work harmoniously with other employees; and

Ability to write legibly; good physical condition; some computer skills required.

 

 

EDUCATION and/or EXPERIENCE REQUIREMENTS:


 

High school graduate with some clerical experience at the level of Clerk I; or any equivalent combination of experience and training which provides the required knowledge, skills and abilities.
