POSITION SUMMARY:


  Under the direction of the Assistant Controller and School Activity Fund (SAF) Support Specialist, the technician is involved with operational activities related to the SAF, fixed assets and purchase cards (P-Cards).  The job entails training, reporting and support for  school bookkeepers; maintaining fixed assets (cost of > $5,000) by adding new assets, changing locations, and retiring assets; as well as assisting the Fraud Prevention Coordinator with tasks surrounding control of p-Cards. Positions in this class involve the performance of complex, fairly difficult and responsible tasks of a paraprofessional accounting nature.  The technician will work closely with school bookkeepers to ensure that accounting data in SchoolFunds Online (SFO) is accurate and up-to-date.  The incumbent also enters transactional data into the Oracle Assets module, serves as backup for the Access Online Transactions Coordinator, and performs other duties as directed by the Assistant Controller.  Work involves frequent contact with many schools, departments within the school system as well as outside organizations.   

DUTIES and RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Helps ensure that SFO and MySchoolBucks (MSB) systems at schools are accurate and up-to-date.  Assist with resolving problems related to quarterly financial reports prepared by school bookkeepers.  Work may involve overseeing, training and filling in gaps for bookkeepers at schools;   

Reviews accounts payable (AP) source data to determine transactions needed for posting to Oracle Assets,  Creates shells for capital improvement project (CIP) assets, and adds, deletes, updates other fixed assets as needed;   

Assists with uploading P-Card transactional data into Oracle Assets in the absence of the Fraud Prevention Coordinator, follows up on expensing requiring allocation or source documents and other duties related to proper control of purchase cards;

Develops and maintains an effective computerized tracking and monitoring system for internal audit reports of SAF income and expenses;

Assists in the preparation of the annual SAF Report under the direction of the Assistant Controller, and assists with any SFO software activities; and

Performs other duties as assigned.

QUALIFICATIONS:The requirements listed below are representative of the knowledge, skill, and/or ability required.

 

Working knowledge of accounting system practices and procedures and their application to a variety of transactions and problems;

Demonstrated experience in keeping accurate data;

Ability to treat information, data, and records confidentially;

Ability to analyze and make recommendations on a variety of transactional matters;

Ability to perform a wide range of business clerical tasks quickly and efficiently;

Ability to maintain records and prepare reports from such records;

Ability to operate computer with proficiency, including Microsoft Windows, Word, Power Point, Excel, and other sophisticated accounting software packages; and

Ability to understand and follow oral and written instructions; and good human relations skills.

 

 

EDUCATION and/or EXPERIENCE REQUIREMENTS:


 

A.A. degree in accounting with three to five years of financial/business accounting experience preferred; or 15 semester hours of college level accounting courses and three to five years of financial/business accounting experience; or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities.

Oversees school clerical staff as assigned.
