POSITION SUMMARY:
The Accounts Payable
Technician performs work involving the performance of complex, highly difficult
and responsible tasks of a sub-professional accounting nature. These tasks are varied and include importing,
auditing, posting and balancing of accounts payable transactions to appropriate
fund and appropriation accounts; preparation of audit and control reports; control
of disbursement authorities, food service quick invoices, travel
reimbursements, iExpense submissions, and other related and similar activities.
Employees
in this class may serve as the final check on numerous financial
transactions. Work is performed within
the limits of an established accounting system with considerable independence
under general supervision and is reviewed by a technical superior for adherence
to established accounting system requirements. The complex and highly
responsible duties of this class, supervisory responsibilities and performance
of tasks under general supervision, mainly limited to review of reports for
adherence to established procedures, differentiate this class from Accounts
Payable Clerk II.
DUTIES and RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
Posts invoice batches to
proper funds, appropriations, activities and objects;
Prepares monthly
performance reports and assists in the preparation of end of month performance
reports;
Imports, prepares and
posts accounts payable transactions from other systems;
Reconciles source
documents with reimbursement requests;
Prepares adjustment
documents;
Audits batches,
registers and related documents;
Organizes and formats
approved batches for payment in Oracle Payables;
Pre-audits invoice and
payment runs based on AP Forensics input;
Trains newly assigned
employees; and
Performs other duties
as assigned.
QUALIFICATIONS:The requirements listed below are representative of the knowledge, skill, and/or ability required.
Thorough
knowledge of clerical accounting practices;
Working
knowledge of Microsoft Word, Excel, and Oracle Payables or equivalent ERP
system.
Thorough
knowledge of office terminology, procedures and equipment and of business
arithmetic and English;
Ability
to maintain complex records and to prepare other reports and statements;
Ability
to make arithmetical computations quickly and accurately, including the ability
to understand and follow complex oral and written instructions;
Ability
to operate adding machines and computers;
Ability
to deal courteously and tactfully with customers; and
Ability
to plan and supervise the work of others.
EDUCATION and/or EXPERIENCE REQUIREMENTS:
High school diploma or GED required, preferably
supplemented by college-level courses, with at least seven years accounts
payable experience; or any equivalent combination of experience and training
which provided the required knowledge, skills and abilities. Considerable
experience in bookkeeping and related clerical work, including experience in
preparing financial reports. Working knowledge of Microsoft Word, Excel, and
Oracle Payables or equivalent ERP system.
