POSITION SUMMARY:
The Accounts Payable
(AP) Control Clerk performs office and clerical work of limited complexity. An
employee in this class is responsible for performing, according to well
established procedures, clerical tasks which can be readily learned by training
on the job and which require limited judgment in their execution. Advice is
received on unusual work problems and work is usually reviewed or checked upon
completion. Work involving varied tasks is normally given closer supervision
that that which is repetitive in nature. This position provides support for Account
Payable staff and requires effective personal communication approaches, whether
face-to-face, phone or written.
DUTIES and RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
Opens bulk mail from schools
and vendors, including date stamping each piece of mail;
Sorts groups and distributes
invoices and statements to appropriate Accounts Payable Clerks and Technician;
Logs Disbursement Authorities
(DAs) in/out; including date stamping;
Answers phones and
directs incoming calls to appropriate Accounts Payable staff; assists callers
with general inquires;
Serves as a back up to Accounts
Payable Assistant;
Processes requisitions
using Oracle and verifies supplies ordered on the intranet;
Distributes office
supplies to the appropriate staff;
Faxes tax exemption
forms to the appropriate vendors;
Matches daily reports
to daily batch sheets and maintains file;
Files incoming W9; and
Performs other duties
as assigned.
QUALIFICATIONS:The requirements listed below are representative of the knowledge, skill, and/or ability required.
Knowledge of business
English, spelling and arithmetic;
Ability to learn
assigned clerical tasks readily, to adhere to prescribed routines and to
develop some skill in the operation of office computers and equipment;
Ability to understand
and follow oral and written instructions;
Ability to make simple
arithmetical computations with accuracy;
Ability to write
legibly;
Ability to maintain and
establish effective working relationships with other employees and the general
public; and
Must be able to execute
general Oracle applications.
EDUCATION and/or EXPERIENCE REQUIREMENTS:
High
school diploma or GED required; two years’ experience performing general
clerical work preferred.
CERTIFICATION REQUIREMENTS:
None Required.
SUPERVISORY RESPONSIBILITIES:
No direct supervisory responsibilities.
