POSITION SUMMARY:


Under general supervision of the Assistant Controller, the Account Clerk II performs clerical tasks of moderate difficulty in processing transactions and recording related accounting information.  The clerk in this class follows established procedures but exercises judgement in performing accounting clerical operations.  Work may also require the preparation of regular and special reports.

DUTIES and RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Prepares journal entries for daily cash activity sheets received from Treasury Operations, including researching missing information and determining appropriate account strings;

Prepares journal entries for transportation charges received from the Transportation Office and assists schools and offices with questions related to charges;

Downloads field trip transportation reports (FTS, the billable trips application) from Oracle to send to schools monthly;

Sets up and maintains files and records system; gathers data for record purposes; selects and disposes of obsolete file and record materials;

Prepares routine financial correspondence, as requested by Supervisor;

Processes incoming mail and distributes faxes;

Controls inventory of office supplies;

Serves as back-up time keeper for office; and

Performs other duties as assigned.

QUALIFICATIONS:The requirements listed below are representative of the knowledge, skill, and/or ability required.

Knowledge of modern clerical account keeping practices;

Knowledge of office terminology, procedures and equipment;

Knowledge of business arithmetic and English;

Familiarity with operation of bookkeeping or accounting practices desirable;

Ability to understand and follow simple oral and written instructions;

Proficient in Microsoft Office;

Ability to write legibly;

Ability to get along well with others;

Good customer service skills; and

Knowledge of Oracle preferred.

EDUCATION and/or EXPERIENCE REQUIREMENTS:


High school diploma with at least three (3) years bookkeeping experience or any equivalent combination of experience and training which provides the required knowledge, skills and abilities.

No direct supervisory responsibilities.
